1. Compliance

In 2020, 71% of employers audited by the Fair Work Ombudsman were found to be non-compliant.* This extensive list covered non-compliance in areas such as; poorly drafted (or non-existent) employment contracts and policies, limited understanding of Award coverage, misinterpreting the Fair Work Act, unfair handling of employee grievances, and an inadequate approach to managing work, health and safety.

Partnering with a proven outsourced provider can help you ensure your business remains 100% HR compliant. With an expert team, you’ll have the right tools, expertise and knowledge to ensure you remain compliant and up-to-date on all HR issues.

2. Performance Management

Your business must develop a performance management system. Underperformers can not only have a detrimental effect on your business, they can also drive away top performers. Without one, you may not be able to identify and nurture the best talent and improve on inefficiencies.

Delaying tough decisions, or getting those decisions wrong, can be damaging to staff morale and your bottom line.

Partnering with a proven outsourced provider can ensure you have access to the right HR tools to ensure role clarity, drive the right behaviours, manage performance, and develop your team so they each have the opportunity to become a top performer.

3. HR Administration

Administration can be costly and time-consuming, particularly when it comes to manual processes. In 2021, many SMEs continue to maintain manual systems, including rostering, payroll, recruiting and onboarding.

For greater efficiency and accuracy, many businesses are now turning to outsourced HR providers. Finding a dedicated team of local consultants can help you simplify your HR management and administration process with the latest cloud-based HR software.

4. Workplace culture

Businesses spend thousands of dollars and countless hours defining the values, beliefs and principles of their business. These often serve as the foundation of their management performance system and encompass various aspects of the business, including the attitudes of their employees. If these values are misaligned with the core beliefs of your team, problems become apparent very quickly.

Finding an HR partner to help you define this system can help you foster a dynamic and engaging working environment. Focus on shared vision and goals, relevant company values, leadership development, communication, employee engagement, reward systems and effective teamwork.

5. Recruitment and retention

High staff turnover can be devastating for business (particularly if top performers are walking out the door), and is often the result of deeper issues. In many instances, employees leave when they don’t grow, aren’t receiving clear direction from their managers, or don’t feel supported by their team or workplace culture.

Align your HR goals with your company objectives. Finding expert assistance can help you measure and improve employee engagement by collecting and acting on regular feedback, and promote genuine coaching and conversations between managers and employees.

6. Ineffective HR managers

How good is your HR Manager? Do they make good decisions based on your company’s objectives? Have they created a sound performance management system? Do they promote the right behaviours and ensure each of your employees has the opportunity to grow and develop? If they do, that’s great. If they don’t, it’s clear that change is required.

Finding expert assistance in hiring the right people is integral to making sure your business stays on the right track and remains competitive in today’s market. It also ensures that your team feels supported and respected at work.

Having run my own business for more than 5 years, I am always on the lookout for ways that make my workday easier and more efficient. And ways to enjoy my vacation time without stressing that things are not going smoothly.

There are, of course, the standard tools for your office:

  •  A diary
  • The all-important to-do-list
  • Post-it-notes
  • A whiteboard
  • A desk calendar or planner
  • Excel spreadsheets are a great way to keep track of your social media posting
  • Budgeting software
  • Scheduling applications
  • Team chat applications

Make sure the to-do list is not too big, which can increase overwhelm. Only list what is achievable in a short amount of time.

I use two whiteboards in my little office space at home.

A desk pad or calendar is good for keeping notes on.

There are programs you can download and use for free or get on a 30-day or 60-day free trial. Below are a few I have tried or currently use.

It should be noted that I neither endorse nor am an affiliate of any of the products mentioned.

Canva – for graphic design

SmarterQueue – schedules social media posts

Buffer – schedules social media posts

Toggl – for time tracking

Mailchimp – for email scheduling (can be integrated with Facebook)

Setmore – for calendar bookings (can be integrated with Facebook)

Calendly – for calendar bookings

LastPass – password security

Many Chat – visual bot builder for Facebook Messenger

Draw.io – for making graphs

Grammarly – correct grammar errors

As business owners, we do not have vacation time or time away from the business, but office automation can certainly help when taking time off.

Office Automation Can Bring Balance

Top Tips for Office Automation, Business, Business Assistance, Consulting Business, Entrepreneur, Event, Events, Online Programs, Online support, Online Business, Podcast, PowerPoint, PowerPoint Presentation, PowerPoint Slides, Presentation, Presentations, Program, Programs, Promotional Videos, Resources, Rose Davidson, Small Business, Small Business Owner, Social Media, Speaker, Speakers, Support, Video, Video Editing, Vodcast, Workshop, Workshops

There are many out there who do not believe in the phrase ‘work-life balance’. Some believe that balance is overrated. A cultural myth, much-discussed because it is supposed to mean that you are living a healthy life. You are rested, fit, healthy, dependable and a tad boring.

Arianna Huffington, a former workaholic, recently told Tesla CEO Elon Musk…

“…we all have limited energy. As such, we must allocate time wisely, depending on priorities and circumstances. Inevitably, some things are neglected when more important matters demand our attention – and what we prioritise changes at different points.”

The first problem with the phrase “work-life balance” is the language itself. The formulation implies that work is not part of life but something separate and is getting in the way of existence. Life is all-encompassing, however, and work is just one thing that fits in under the greater umbrella. If anything, separating work from life overemphasizes the importance of labour. [Quartz at Work]

I think that there is work and then there is leisure or life and that the two things are separate. There must be a balance between the two.

 But I digress.

Let’s look at seven office automation tips that can help you get the most out of your leisure time.

Meditate

Mediate

This is not office automation; however, meditation is an essential habit that is a must-learn. The key is to have a clear head. If you meditate when you are busy and when you are on vacation, it will make your work break feel like more of a holiday to your body and you should come back rested.

Computer

Dim the screen on your electronic device after 6 p.m.

We have all heard or read about the effects of the blue light that the computer screen shines into your eyes for hours at a time. This light can interfere with your body clock.

[Blue light at night can disrupt your body clock, but it’s not all bad – ABC News Health]

It is suggested that you download F.lux and use it for a few weeks before your vacation to maximise the good sleep that you will surely get whilst on vacation.

Automate Money, Finances

Automate receipts and expenses

Apps like Receipt Bank integrate with Wave and Freshbooks and can save you hours of work each week. Receipt Bank allows you to take pictures of your receipts on your phone and you can synchronise all e-copies with the other apps. Easy!

Banking, PayPal, Direct Debit, Stripe

Set up PayPal or use Direct Bank Deposit

This will give you peace of mind knowing that you will be paid for your work because you can keep track of invoices that have been paid.

Virtual Assistant

Use a virtual assistant business

Before you stop reading, I need to break it to you that you do not have to do all the work yourself.

Virtual assistant services are surprisingly effective and can add hours of effective time to your workweek, every week.

Virtual Assistant

Build a relationship with a direct virtual assistant

You might be wondering, what’s the difference between this and the last tip?

A “direct virtual assistant,” means creating and building a relationship with one person who will, over time, get to know the nuances of your business and your personality.

Invoice

Invoice Smart

If you haven’t set up recurring invoices yet, now is the time. Be sure to include alternative payment methods.

Last thoughts

“At the end of the day, if your back office is automated while you’re on vacation, you might not eliminate the need to work altogether, but you’ll reduce your “check-in” times to a few hours a day (or even just an hour of very productive beach work).”

Are you doing SEO right?

Let’s look at what SEO is:

SEO or Search Engine Optimization is the process of increasing the quality and quantity of website traffic by increasing the visibility of a website or a web page to users of a web search engine. SEO refers to the improvement of unpaid results and excludes direct traffic/visitors and the purchase of paid placement. (Wikipedia)

We ALL want our websites to rank in online searches so that we attract more clients. That is a given. For me though, the very thought of performing SEO sends chills down my spine. SEO goes over my head as much as I try to understand it; optimised robots.txt, breadcrumbs, thin pages, XML sitemaps, HTML site maps, indexing, etc.; and the cost to a business to hire someone to do SEO on their website is very expensive when first starting out with the average cost being around AUD$495 per month.

So, what does it REALLY mean in terms of you and your business?

Search engine optimisation is nowadays more important than ever, and it is necessary for every webmaster to understand the true meaning of SEO as well as the potential it creates for every business.

Search engines serve millions of users per day looking for answers to their questions or for solutions to their problems.

If you have a website, blog or online store, SEO can help your business grow and meet the business objectives.

Search engine optimisation is important because:

  •  The majority of search engines users are more likely to click on one of the top 5 suggestions in the results pages (SERPS). To take advantage of this and gain visitors to your website or customers to your online store, your website needs to appear in one of the top positions.
  • SEO is not only about search engines, but good SEO practices improve the user experience and usability of a website.
  • Users trust search engines and having a presence in the top positions for the keywords the user is searching, increases the website’s trust.
  • SEO is good for the social promotion of your website. People who find your website by searching Google or Yahoo are more likely to promote it on Facebook, Twitter, or other social media channels.
  • SEO is important for the smooth running of a big website. Web sites with more than one author can benefit from SEO in a direct and indirect way. Their direct benefit is an increase in search engine traffic and their indirect benefit is having a common framework (checklists) to use before publishing content on the site.
  • SEO can put you ahead of the competition. If two websites are selling the same thing, the search engine optimised website is more likely to have more customers and make more sales.
